General Meeting 1999
Held in the Tate Room at the Thredbo Alpine Hotel 4th February 1999, commencing at 4.00pm
There were 32 members of the Society present. 2. Apologies Jim Morrison, David Stone, Keith Fisher and Veronica Borrett 3. Minutes of the Previous Meeting (1998 AGM) The Minutes of the Annual General Meeting held on Wednesday 29th July, 1998 at the University of New South Wales had previously been circulated on the ANZSMS homepage. R. O'Hair stated that he had received a message from Gary Willett indicating that his name was missing from the attendance list. Moved P. Eichinger/M. Guilhaus that these be accepted as a true and correct record. 4. Business Arising from the Previous Meeting Nil 5. President's Report See attached 6. Treasurer's Report
Moved R. Summons/G. Willett that the report be accepted. 7. Conference Convenor's Report The Conference Convenor, M. Sheil, reported that the conference had been highly successful. There were 141 registrations (121 full, 10 day & 9 accompanying persons), with 43 oral presentations and 41 poster presentations. The total of $28,400 from sponsors was smaller than ANZSMS16 due to the Asian currency crisis. Some of the new features this year included: off-campus venue, use of a postcard as the first circular conference announcement followed by a second one-page circular (which required the mailing list to be updated), use of an on-site organiser, use of a credit card facility. The bulk of the conference registration was carried out over the WWW. As of 27/1/99 the total expenses were $66,122.50 and the income $65,505, so a small loss of $617.50 was anticipated. J. Traeger then moved a vote of thanks for all the efforts of the organising committee. 8. Venues for ANZSMS18 and ANZSMS19 Interim Report by Convenor ANZSMS18: J. Bartley stated that the organising committee had been formed, three professional conference organizers had been interviewed, and possible venues (Brisbane, Gold Coast, Coolangatta) were being examined. The registration fee is likely to be $425 for full conference registration. The final decisions on these issues, as well as the date (in early Feb., 2001), will be presented to the executive committee in the next 3 weeks and subsequently placed on the ANZSMS web site. It was agreed that ANZSMS19 will be held in Melbourne (probably February 2003) with R. O'Hair as the Convenor. 9. ANZSMS Interconference Plenary Lecturer The mid-term lecturer for 2000 needs to be organised. G. Willett mentioned that John Eyler and Bob Dunbar had expressed an interest in visiting Australia. Other suggestions for possible lecturers are wanted soon. 10. Membership Fees Moved N. Davies/R. Willis that the fees remain at the present level of $15 for members and $30 for companies. 11. Moved by K. Watkins/P. Cullis that these new correspondents be accepted. 12. ANZSMS representative for the 15th IMSC J. MacLeod will continue to be the ANZSMS representative for the 15th IMSC. 13. International Mass Spectrometry Society Affiliation J. MacLeod informed the members about a letter he received (dated August 31, 1998) from Professor Graham Cooks inviting ANZSMS to join IMSS as a Charter Member. The cost to join in 1999 is US$200, increasing to US$400 in subsequent years. In addition, individuals can join IMSS for US$8. Details on the mission of IMSS, together with the list of committee members, can be found on the IMSS web site. It was decided that it would be too difficult for ANZSMS to collect the fees for individuals who want to join IMSS. Moved by J. MacLeod/R. Summons that ANZSMS becomes a Charter Member of IMSS. 14. Registry of MS Facilities At ANZSMS16, M. Guilhaus distributed a disk for people to register their MS facilities. Much of this information has now been collected and a decision was made to explore the possibility of posting this information on the ANZSMS homepage and making it available to ANZSMS members. M. Guilhaus will find out the costs involved and report back to the executive committee. 15. Registration of ANZSMS Web Address J. Traeger mentioned that the Society could register its own address for a nominal cost of approximately $150. It was agreed that this should be done. 16. AGM Quorum and Proxy Votes J. Traeger mentioned the problems faced with getting a quorum of 20 members for the AGM. The executive committee will examine whether a reduced quorum is possible but with additional proxy voting. This will likely be an agenda item for the next AGM. 17. Implications of a Review of the ACT Associations Incorporation Act A review document on the ACT Associations Incorporation Act was tabled by R. Summons, who brought to attention that some of the recommendations may impinge on the ANZSMS if the Act is amended. Most of these recommendations are designed to make societies more accountable by requiring a higher level of information to be submitted to the government. 18. Any Other Business G. Willett asked whether the Conference Proceedings could be registered with an ISBN number. M. Sheil said that this would not be worthwhile since DEETYA does not count these as publications. J. MacLeod further informed members that the National Library has requested back abstracts for all conferences. G. Willett thanked the ANZSMS executive committee for supporting Prof. Zhen Gao's visit to Australia through funds for a mini lecture tour. There being no further business the meeting closed at 5.20 pm.
